QuickBooks Online vs. Desktop: Which Is Right for Your Business?

One of the most common questions I get from new clients is: "Should I use QuickBooks Online or QuickBooks Desktop?" The honest answer is — it depends on your business. After using both versions for 30+ years across dozens of industries, here's how I help my clients decide.
QuickBooks Online
QBO is cloud-based, meaning you can log in from any device, anywhere. Your bookkeeper can access it remotely without needing to exchange files. It updates automatically and integrates with hundreds of apps.
Best for:
- ✓ Service businesses with remote teams
- ✓ Businesses that want their bookkeeper to have live access
- ✓ Owners who want to check financials from their phone
- ✓ Businesses with simple to moderate transaction volume
QuickBooks Desktop
Desktop is installed on your computer and runs locally. It's faster for high-volume transaction entry, has more advanced inventory features, and is generally preferred for manufacturing, construction, and multi-company setups.
Best for:
- ✓ High transaction volume businesses (50+ per day)
- ✓ Manufacturing, construction, and inventory-heavy industries
- ✓ Multi-company management
- ✓ Businesses that want a one-time purchase vs. monthly subscription
My Recommendation
If you're a service business with fewer than 50 transactions a day and want flexibility, go QBO. If you're in construction, manufacturing, or managing multiple companies, Desktop is usually the better fit. Either way, setup matters as much as the software — a poorly configured QuickBooks file causes headaches no matter which version you use.
